Job Summary
The Project Coordinator supports the successful delivery of Corporate IT projects by combining strong coordination, governance, and planning skills with hands on contribution to project delivery. Working closely with Project Managers, this role takes ownership of defined activities and workstreams, supports project planning and reporting, and helps ensure projects are delivered in line with agreed scope, timelines, and governance standards. The Project Coordinator plays an active role across the project lifecycle and is expected to build breadth and depth of delivery experience across a range of IT initiatives.
The role may also support Cards and Payments initiatives, requiring an understanding of business requirements, transaction flows, and applicable risk or regulatory considerations.
Key Responsibilities
Project Delivery Support
• Support Project Managers with the planning, execution, and monitoring of Corporate IT projects across applications, infrastructure, workplace technology, security, and enterprise change initiatives.
• Take ownership of assigned project tasks, deliverables, or workstreams, ensuring progress is tracked and outcomes are delivered as planned.
• Coordinate activities across technology teams, business stakeholders, and third party vendors as required.
Planning, Tracking & Reporting
• Maintain core project artefacts including plans, schedules, RAID logs, action trackers, and status reports.
• Track progress against milestones and dependencies, highlighting risks, issues, and delivery impacts early.
• Support preparation of governance materials, steering updates, and management reporting.
Stakeholder & Meeting Coordination
• Coordinate project meetings and working sessions, including agendas, materials, minutes, and follow up actions.
• Act as a point of contact for day to day coordination with project team members and stakeholders.
• Support effective communication across project teams to ensure alignment and clarity.
Risk, Issue & Change Support
• Proactively identify risks, issues, and dependencies, supporting mitigation planning and escalation where required.
• Assist with change control activities, ensuring scope changes and decisions are documented and communicated.
Financial & Administrative Support
• Support tracking of project budgets, forecasts, and actuals to ensure alignment with approved funding.
• Maintain accurate and up to date records within project
Basic Qualifications
Required Experience
- 8–10 years of experience in project coordination, project management, or a similar delivery-focused role.
- Demonstrated experience coordinating complex IT initiatives and multiple concurrent projects.
- Strong understanding and practical application of established project management methodologies and governance practices.
- Experience supporting projects throughout the full project lifecycle, from planning through execution, monitoring, and closure.
- Strong experience with project invoicing and financial tracking.
- Experience collaborating with Finance and Project Management teams to maintain accurate project financial reporting.
- Practical experience with Portfolio and Project Management (PPM) processes, platforms, or structured portfolio management frameworks.
- Ability to manage dependencies, priorities, risks, resources, and performance indicators across multiple initiatives.
- Experience producing project and portfolio dashboards and management reports.
- Ability to maintain accurate project records and structured governance documentation.
- Strong stakeholder management and communication skills.
- Demonstrated ability to work effectively with cross-functional technology teams, business stakeholders, Finance teams, Project Managers, and third-party vendors.
- Ability to communicate project status, risks, dependencies, decisions, timelines, and financial implications clearly to different audiences.
Preferred Qualifications
- Familiarity with the Cards and Payments domain is preferred.
- Understanding of payment transaction lifecycles, associated operational risks, and relevant regulatory considerations is advantageous.
