Job Summary

This hybrid position as Customer Service Process Executive focuses on delivering accurate and timely operational support for procure to pay activities using advanced Excel macro and VBA capabilities. The role involves managing transactional data resolving customer and stakeholder queries and continuously optimizing workflows to enhance efficiency and quality.

Responsibilities

  • Manage daily customer inquiries and internal stakeholder requests related to procurement and payment processes ensuring clear communication and timely resolution of each case.
  • Handle transactional data updates in operational systems while maintaining high standards of accuracy completeness and compliance with company process guidelines.
  • Use Excel macro and VBA solutions to automate repetitive tasks streamline reporting activities and reduce manual effort across customer service and procure to pay operations.
  • Prepare and maintain detailed reports and dashboards that summarize service volumes turnaround times and error trends to support continuous improvement discussions.
  • Coordinate with procurement and finance teams to investigate discrepancies in orders invoices and payments and provide data backed recommendations to resolve issues quickly.
  • Follow standard operating procedures and control checklists rigorously documenting any deviations or exceptions and supporting root cause analysis activities.
  • Support process improvement initiatives by analyzing existing workflows identifying bottlenecks and proposing enhancements that leverage Excel macro and VBA capabilities.
  • Respond to email and system tickets in a structured and courteous manner capturing complete information and updating case logs to ensure traceability and knowledge reuse.
  • Participate in quality reviews and internal audits by providing accurate records clarifying process steps and implementing agreed corrective actions within the defined timelines.
  • Collaborate with team members in the hybrid work model by using digital collaboration tools effectively sharing updates proactively and maintaining productivity in both office and remote settings.
  • Contribute to knowledge base documents by drafting simple and clear process notes macro usage guidelines and frequently asked question responses to support team learning.
  • Monitor own performance indicators such as response time resolution quality and data accuracy and take ownership to improve results through targeted skill development.
  • Support the broader purpose of the company by ensuring that every customer interaction and back office task is handled reliably thereby fostering trust and operational resilience.

Qualifications

  • Possess 0-18 months of proven experience in Customer Service or related positions.
  • Demonstrate practical experience in creating modifying and troubleshooting Excel macros and VBA scripts to support data processing reporting and simple workflow automation tasks.
  • Display sound understanding of basic data handling concepts including validation deduplication and reconciliation using Excel formulas and structured spreadsheet design.
  • Apply knowledge of procure to pay and procurement fundamentals such as purchase requisitions purchase orders goods receipts and invoice processing to day to day responsibilities when relevant.
  • Show familiarity with office productivity tools and ticketing or workflow systems used in customer service operations enabling efficient management of daily work queues.
  • Exhibit strong communication skills through concise written updates and respectful verbal interactions that help customers and colleagues understand process status and next steps clearly.
  • Maintain high attention to detail and a consistent focus on accuracy particularly when working with large volumes of transactional data or updating macro driven reports.
  • Demonstrate openness to learning new process guidelines system features and analytical techniques that enhance contribution to continuous improvement initiatives.
  • Adapt smoothly to the hybrid work model by managing time effectively staying organized and using collaboration tools to remain aligned with team objectives.
