JD: Smartsheet Business Use Case & Functional Consultant (10–12 Years)
Role Title: Smartsheet Functional Consultant / Business Use Case Expert
Experience: 10–12 years (with 5+ years in Smartsheet functional consulting preferred)
Location / Mode: Bangalore / Hybrid (adjustable)
Role Summary
We are seeking a Smartsheet Business Use Case & Functional Consultant who excels at translating business needs into Smartsheet-based solutions. This role focuses on use-case identification, process mapping, functional design, user experience, adoption, and benefits realization. You will guide stakeholders on best practices and build functional solutions that drive measurable operational efficiency.
Key Responsibilities
Use Case Discovery & Consulting
- Lead discovery workshops to identify and prioritize high-value Smartsheet use cases:
- PMO, program management, intake/request management, CAPA, audit tracking, content ops, campaign tracking, vendor management, risk/issue management, etc.
- Conduct process mapping and translate business workflows into Smartsheet solution designs.
- Build business cases and ROI narratives: time saved, error reduction, visibility improvements.
Functional Design & Solution Build
- Create functional designs:
- sheet structures, forms, approval workflows, reports, dashboards, user roles and permissions
- Configure:
- Forms for intake
- Conditional logic and process flows
- Reports and cross-sheet views
- Dashboards (exec + operational)
- WorkApps (preferred) for role-based experience
Adoption & Change Management
- Drive adoption strategies:
- user segmentation (exec/power/standard)
- training plans, playbooks, office hours
- communication packs and quick reference guides
- Define governance and operating model with business owners:
- ownership, ongoing updates, hygiene routines, escalation paths
- Partner with SMEs to ensure processes are audit-friendly and scalable.
Stakeholder Management
- Work with senior business leaders to align solutions to KPIs and business priorities.
- Act as the functional SME bridging business teams and technical delivery.
- Translate functional requirements into technical backlog/user stories (if a technical team builds integrations).
Benefits Realization
- Track outcomes post go-live:
- adoption, cycle time reduction, throughput improvement, SLA adherence
- Maintain roadmap for enhancements and continuous improvement.
Required Skills & Qualifications
- 10–12 years overall experience in business process consulting / PMO / workflow solutions.
- Strong hands-on knowledge of Smartsheet functional capabilities (sheets, reports, dashboards, forms, automation).
- Strong requirement gathering, process mapping, and stakeholder facilitation skills.
- Experience designing solutions for:
- project/program management, operations, service delivery, content ops, governance tracking
- Excellent communication, storytelling, and change management capabilities.
Preferred / Good to Have
- Experience in enterprise rollout / centre of excellence (CoE) models.
- Familiarity with Smartsheet premium apps (Control Centre, Dynamic View, WorkApps) - functional perspective.
- Experience in regulated/validated domains (Life Sciences/Pharma) - preferred.
- Exposure to Agile, Lean, Six Sigma, or BPM.
